Refund, Returns & Pre-Order Policy

Effective Date: September 3, 2026

This Refund, Returns & Pre-Order Policy governs purchases made through BattleDeck (“BattleDeck,” “Company,” “we,” “us,” or “our”).

By placing an order through our website, you acknowledge that you have read, understood, and agreed to the terms of this policy.


1. Eligibility for Returns

1.1 Return Window

Returns must be initiated within 120 calendar days from the original order date to qualify for a refund to the original method of payment.

1.2 Store Credit After 120 Days

After 120 calendar days from the original order date, approved returns may be eligible for store credit only, at BattleDeck’s discretion.

1.3 Return Condition Requirements

To qualify for a return, products must:

  • Be unused and unplayed

  • Be in their original packaging

  • Be in original, resalable condition

  • Show no signs of wear, modification, damage, or abuse

Products that have been opened, used, played with, altered, damaged, or otherwise determined to be unsellable may not qualify for a return.

1.4 Inspection

All returned products are subject to inspection. BattleDeck reserves the right to make the final determination regarding whether a product qualifies for a return or refund.


2. Return Authorization Procedure

2.1 Prior Authorization Required

All returns require prior written authorization from BattleDeck.

2.2 How to Request a Return

To request a return, customers must contact [CUSTOMER SERVICE EMAIL] and provide:

  • Full name

  • Order number

  • Product(s) being returned

  • Reason for the return

  • Whether a refund or replacement is being requested

2.3 Unauthorized Returns

Returns sent without prior authorization may be refused or returned to the customer at the customer’s expense.


3. Return Fees & Deductions

3.1 Applicable Deductions

Approved returns may be subject to:

  • Original shipping charges, which are non-refundable

  • A 15% restocking fee

  • Return shipping costs

These amounts may be deducted from the refund issued to the customer.

3.2 Original Shipping Charges

Original shipping charges are non-refundable unless otherwise required by applicable law or the return is due to an error on the part of BattleDeck.


4. Refund Processing

4.1 Inspection Before Refund

Refunds will be processed only after:

  1. The returned product has been received by BattleDeck; and

  2. The product has been inspected and determined to meet the return requirements.

4.2 Original Payment Method

Approved refunds will generally be issued to the original payment method, subject to the limitations of the applicable payment processor.

4.3 Store Credit

If a refund cannot be issued to the original payment method due to payment processor limitations or the applicable return period, BattleDeck may issue store credit instead.

4.4 Processing Times

Once approved, refunds may take several business days to appear on the customer's account depending on the customer's bank, credit card company, payment provider, or other financial institution.


5. Pre-Order Terms

5.1 Estimated Production & Delivery

By placing a pre-order, the customer acknowledges that the production and delivery timeline displayed on the product page or at checkout is an estimate and not a guaranteed delivery date.

5.2 Limited Production

Pre-order products may be manufactured in limited quantities. Production may begin before or immediately following the close of the pre-order period.

5.3 Pre-Order Cancellations

Pre-orders may be cancelled within 120 calendar days of the original order date for a refund to the original payment method, subject to applicable payment processor limitations.

5.4 Cancellations After 120 Days

After 120 calendar days from the original order date, approved pre-order cancellations may be eligible for store credit only.

This limitation may be necessary due to payment processor restrictions on refunds for older transactions.

5.5 Production & Shipping Delays

Pre-order delivery estimates may be affected by circumstances outside of BattleDeck’s reasonable control, including:

  • Manufacturing delays

  • Supplier or material shortages

  • Supply chain disruptions

  • Shipping carrier delays

  • Customs delays

  • Natural disasters

  • Government actions

  • Other unforeseen operational circumstances

5.6 Delayed Pre-Orders

If a pre-order experiences a significant delay, BattleDeck may, at its discretion, offer the customer a refund or store credit in accordance with this policy.

5.7 No Additional Compensation

To the fullest extent permitted by applicable law, BattleDeck will not be responsible for additional expenses, damages, losses, or compensation resulting from a pre-order delay.


6. Defective, Damaged, or Incorrect Items

6.1 Damaged or Defective Products

Claims involving products that arrive damaged, defective, or incorrect must be submitted within 7 calendar days of delivery.

6.2 Documentation

BattleDeck may request photographs or other documentation showing the condition of the product and packaging.

6.3 Review

BattleDeck will review each claim and determine whether the product qualifies for a replacement, repair, refund, or other resolution.

6.4 Resolution

If BattleDeck determines that a product was defective, damaged during shipment, or incorrectly fulfilled, BattleDeck may, at its discretion and as permitted by applicable law:

  • Replace the product

  • Provide a refund

  • Provide store credit

  • Provide another appropriate resolution


7. Shipping Address Responsibility

7.1 Customer Responsibility

Customers are responsible for providing accurate and complete shipping information at checkout.

7.2 Address Changes

Customers should contact BattleDeck as soon as possible if a shipping address needs to be changed. Address changes cannot be guaranteed once an order has entered fulfillment.

7.3 Incorrect Addresses

BattleDeck is not responsible for delivery problems, returned packages, additional shipping charges, or lost packages resulting from incorrect or incomplete shipping information provided by the customer.

If an order is returned to BattleDeck due to an incorrect or undeliverable address, additional shipping charges may apply before the order is reshipped.


8. Chargebacks & Payment Disputes

8.1 Contact BattleDeck First

Customers are encouraged to contact BattleDeck before initiating a chargeback or payment dispute so that we can attempt to resolve the issue directly.

8.2 Disputes

If a customer initiates a chargeback or payment dispute, BattleDeck may provide relevant transaction information, order records, shipping information, communications, and other documentation to the applicable payment processor or financial institution.

8.3 Fraudulent Claims

BattleDeck reserves the right to dispute fraudulent or materially inaccurate claims to the fullest extent permitted by law.


9. Limitation of Liability

To the fullest extent permitted by applicable law, BattleDeck’s liability arising from the purchase or use of a product shall be limited to the amount actually paid by the customer for the applicable product.

BattleDeck shall not be liable for incidental, indirect, special, or consequential damages to the extent permitted by law.

Nothing in this policy is intended to exclude or limit any rights or remedies that cannot legally be excluded or limited under applicable law.


10. Policy Modifications

BattleDeck reserves the right to modify or update this Refund, Returns & Pre-Order Policy at any time.

Any changes will become effective when posted to the website unless otherwise required by applicable law.

The version of this policy in effect at the time of purchase will generally govern that transaction.


11. Return & Refund Data Processing

When customers request a return, refund, replacement, or store credit, BattleDeck may collect and process information including:

  • Name

  • Email address

  • Order information

  • Product information

  • Shipping information

  • Payment and transaction information

  • Communications relating to the return or refund

This information may be used to:

  • Verify purchase eligibility

  • Process returns and refunds

  • Issue store credit or replacements

  • Communicate with customers

  • Prevent fraud and abuse

  • Maintain transaction and business records

Personal information will be handled in accordance with BattleDeck’s Privacy Policy and applicable data protection laws.


12. Force Majeure

BattleDeck shall not be liable for delays or failures to perform its obligations when such delay or failure results from circumstances beyond its reasonable control.

Such circumstances may include, but are not limited to:

  • Natural disasters

  • Acts of God

  • Government actions

  • War

  • Terrorism

  • Labor disputes

  • Supply chain disruptions

  • Manufacturing disruptions

  • Shipping carrier delays

  • Customs delays

  • Pandemics

  • Embargoes

  • Material shortages

  • Other unforeseeable circumstances

When such circumstances occur, BattleDeck’s affected obligations may be suspended for the duration of the event.

If fulfillment becomes commercially impracticable, BattleDeck may cancel affected orders and provide a refund or store credit in accordance with this policy and applicable law.


13. Dispute Resolution & Binding Arbitration

13.1 Agreement to Arbitrate

To the extent permitted by applicable law, by purchasing from or using the BattleDeck website, you agree that any dispute, claim, or controversy arising out of or relating to your purchase, these policies, the Terms of Service, or your use of BattleDeck products or services will be resolved through final and binding arbitration rather than in court, except where otherwise provided below.

This arbitration agreement is governed by the Federal Arbitration Act, 9 U.S.C. §§ 1–16, to the extent applicable.

13.2 Informal Resolution

Before initiating arbitration, customers agree to first contact BattleDeck at [CUSTOMER SERVICE EMAIL] and provide BattleDeck with an opportunity to resolve the dispute informally.

The parties agree to make a good-faith effort to resolve the dispute for at least 30 days before formal arbitration is initiated.

13.3 Arbitration Procedure

Unless otherwise required by applicable law, arbitration will be administered by the American Arbitration Association (AAA) under its applicable Consumer Arbitration Rules.

The arbitration will:

  • Be conducted by a single neutral arbitrator

  • Be conducted in English

  • Be conducted remotely or at a mutually agreed location when permitted by the applicable rules

  • Concern only the individual dispute between the customer and BattleDeck

The arbitrator will have authority to determine issues concerning the interpretation, applicability, enforceability, or formation of this arbitration agreement, subject to applicable law.

Judgment on the arbitration award may be entered in any court having jurisdiction.

13.4 Class Action Waiver

To the fullest extent permitted by law, any arbitration or legal proceeding will be conducted solely on an individual basis.

You agree not to:

  • Participate in a class action

  • Participate in a class-wide arbitration

  • Act as a class representative

  • Join or consolidate your claim with claims brought by other customers

The arbitrator may not consolidate claims or preside over any form of representative, class, or collective proceeding unless required by applicable law.

If the class action waiver is determined to be unenforceable, the arbitration agreement may be deemed unenforceable to the extent required by applicable law.

13.5 Waiver of Jury Trial

To the fullest extent permitted by applicable law, you waive any right to a jury trial for disputes subject to this arbitration agreement.

13.6 Exceptions

Nothing in this arbitration agreement prevents either party from:

  • Bringing an individual claim in small claims court when eligible

  • Seeking temporary, preliminary, or injunctive relief where permitted by law

  • Seeking relief relating to intellectual property rights where permitted by law

13.7 Limitation Period

To the fullest extent permitted by applicable law, any claim arising from or relating to a purchase, product, or use of the BattleDeck website must be initiated within one (1) year after the claim arose.

Any claim not initiated within this period may be permanently barred, except where a longer period is required by applicable law.
